This Privacy Policy explains how Channelsum collects, uses, shares, and protects personal data when you visit our website or use our service, and the rights you have under the EU General Data Protection Regulation (GDPR) and applicable national data-protection law. Channelsum is operated from, and hosts its data within, the European Union.
1. Who we are

2. The data we collect
We collect only the data we need to provide and secure the service:
- Account data. Your name, email address, password (stored only as a secure hash by our authentication provider), and optional company name — provided when you create an account.
- Payment data. When you buy a licence, payment is processed by our payment provider. We receive the licence term, transaction status, and a payment reference. We do not receive or store your full card number.
- Marketplace API credentials. The read-only API keys you enter to connect a marketplace. These are encrypted at rest and used solely to retrieve your own sales data.
- Marketplace order & sales data. Order-level commercial data we retrieve on your behalf — product, quantity, country, currency, and amounts — which we aggregate into your per-product, per-country report. We do not seek to collect your end customers’ personal details, and you should not configure connections to send us more than is needed for sales summaries.
- Technical & usage data. IP address, device and browser information, timestamps, and server logs generated when you use the service, used for security, diagnostics, and abuse prevention.
- Communications. Messages you send us by email or support channels.
3. Why we use your data and our legal bases
Under Article 6 GDPR we rely on the following legal bases:
- Performance of a contract. To create your account, provide the licensed service, connect your marketplaces, and generate your reports.
- Legitimate interests. To secure the service, prevent fraud and abuse, maintain logs, and improve and support the product — balanced against your rights.
- Legal obligation. To keep accounting, tax, and transaction records as required by law.
- Consent. Where we ask for it (for example, optional communications). You may withdraw consent at any time.
4. Cookies
We use only the cookies and similar technologies that are strictly necessary to run the service — chiefly to keep you signed in and to protect the session. We do not use advertising or cross-site tracking cookies. Because these cookies are essential, they are set on the basis of our legitimate interest in providing a working, secure service.
5. How we share data & our processors
We do not sell your personal data. We share it only with service providers (processors) who help us run Channelsum, under written data-processing agreements:
- Authentication — our identity provider, which manages sign-in and stores account credentials.
- Payments — our payment provider, which processes licence payments.
- Hosting & database — our cloud hosting provider, where the application and database run within the European Union.
- The marketplaces you connect — we communicate with bol.com, Amazon, Kaufland, ManoMano and similar platforms using the credentials you provide, to retrieve your sales data.
We may also disclose data where required by law, to enforce our terms, or to protect the rights, safety, and security of Channelsum, our users, or others.
6. International transfers
Our application and database are hosted within the EU. Some of our processors (for example authentication and payments) may process limited data outside the European Economic Area. Where that happens, the transfer is protected by an adequacy decision or by appropriate safeguards such as the European Commission’s Standard Contractual Clauses. 7. How long we keep data
We keep personal data only as long as necessary for the purposes above. Account and connection data are retained while your account is active and deleted within a reasonable period after you close your account or a connection, except where we must retain certain records (such as invoices and transaction records) to meet legal and tax obligations. You can request deletion at any time, subject to those obligations.
8. Security
We use read-only API keys by design, encrypt marketplace credentials at rest, serve all traffic over encrypted connections (TLS), and apply access controls and monitoring. No system can be guaranteed perfectly secure, but we work to protect your data and to notify you and the relevant supervisory authority of any qualifying personal-data breach as required by law.
9. Your rights
Under the GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected (rectification);
- have your data erased (the “right to be forgotten”), where applicable;
- restrict or object to certain processing;
- receive your data in a portable format (data portability);
- withdraw consent where processing is based on consent; and
- lodge a complaint with your local data-protection supervisory authority.

10. Children
Channelsum is a business tool intended for use by organisations and adults. It is not directed at children, and we do not knowingly collect personal data from anyone under 16.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Continued use of the service after changes take effect means you accept the updated policy.
